When you run this report you are prompted for an Item barcode OR Item control number (control numbers are used for On Order material that doesn’t yet have a barcode) and a branch location. The branch location should be the registered branch of the patron that you are trying trying verify this item’s settings for.

Once you select your options and hit submit, the report will return the items Material Type along with the barcode and patron branch that you selected.

The table that the report shows will display the number of Checkouts and Requests allowed for the item’s material type for each of the Patron Codes at the branch selected. You should match the patron code row with the registered library on the patron’s account to determine the settings for a particular patron.

Any time you have an item that the system will not allow a patron to checkout or place on hold, you should verify the settings for that item/patron code combination using this report.

Generally problems with incorrect limits can be fixed in one of two ways:

  • Make sure that the item has the correct material type code. For example, if you are holding a book that the system won’t allow a patron to checkout, make sure that the material type for the book is actually listed as book and not Video R or some other sort of material type code. You local cataloger can assist you with making any changes to the item record.

  • The settings in the system do not accurately reflext your library’s policy. For instance if the report shows that Minor Restricted 3 can have 5 items with a Material Type code of Video R checked out, when they shouldn’t be allowed to checkout any Video R material. If the Max Checkouts/Requests columns do not have the correct information, please open up a HelpDesk ticket and the CLC will make adjustments to the system settings.

If either the Holdable or Circulating Columns have a no in them on the report, then a cataloger needs to edit the item record and either ADD a checkmark to make the item holdable or REMOVE the Non-Circulating checkmark to allow the item to circulate. If either of these it set incorrectly on the item record, it will override ALL other settings associated with that item.
