The report counts duplicate patrons within the CLC. It is intended for informational purposes.

  • A patron account is considered a duplicate if it matches ALL of the following: the first and last name and birthdate of another patron’s account. The name spelling must be exact, but case doesn’t matter.
  • Optional report setting: If two patron accounts match the criteria above, but have different email addresses, and the Include email in dupe check option is set to TRUE they are NOT counted as a match.
  • Each match increments the match count for where the patron accounts are registered. If there are two matching accounts from different libraries, then that will count is ONE match for EACH library.
  • The report also identifies potential duplicate accounts within the same library system using the same criteria as mentioned above.
    • If members would like to attempt to dedup local accounts, please open a HelpDesk ticket with the CLC for assistance.
  • Only Full Access patron code accounts are counted to avoid “false positive” duplicates caused by student accounts from schools or InnReach accounts used by SearchOhio and OhioLINK patrons.

The CLC Shared patron policy allows member libraries to decide locally if they want to create duplicate card registrations for patrons already registered to another library. Before this policy was created, members could not access easily and therefore patrons were required in many cases to have a duplicate account.
